We are looking for an Admin & Facility Executive with hands-on experience in office administration and facility management to run the day-to-day operations of our office. This is a pure administration and facility role.
Key Responsibilities
- Manage facility operations: office maintenance, housekeeping, security, and pantry.
- Coordinate with vendors for repairs, office supplies, and AMC (Annual Maintenance Contracts), including renewals and follow-ups.
- Maintain records of office assets, agreements, invoices, and administrative documents.
- Maintain inventory of stationery, pantry items, and other office assets.
- Raise purchase requisitions and coordinate with the procurement team for office requirements.
- Arrange travel bookings, hotel accommodations, and transportation for employees and visitors.
- Manage courier services, incoming and outgoing mail, and document dispatch.
- Arrange workstations, ID cards, and facilities for new joiners.
- Coordinate meeting room bookings and refreshments.
- Ensure compliance with office safety, cleanliness, and company policies.
- Track admin expenses and support basic budget monitoring.
Required Skills
- 2-5 years of hands-on experience in office administration or facility management.
- Experience managing facility vendors such as housekeeping, security, and maintenance.
- Experience handling AMCs, travel bookings, and inventory.
- Good negotiation and vendor coordination skills.
- Proficiency in MS Office (Excel, Word, Outlook).
- Strong communication, organization, and time management skills.
Preferred Skills
- Experience in manufacturing, renewable energy, engineering, or a corporate office.
- Certification in Administration or Facility Management.
